Zapier is the easiest way for a non technical team to build automations and AI agents across the apps it already uses, with 9,000+ integrations and Agents included on the free plan. The catch is price at volume: 10,000 tasks costs $193.50 a month billed monthly, and Agents bill on a separate meter. Light users will love it; heavy users should price Make or n8n.

By Zapier

Zapier is the safest pick for non technical teams: the widest app catalog, a free plan that includes Agents, and SOC 2 Type II. The tradeoff is cost at volume, since Zaps bill per task and Agents bill per activity on a separate meter.

What it is

Zapier is a cloud automation platform. You build Zaps, which start from a trigger in one app ("new form submission") and run actions in others ("create a CRM contact, post to Slack"). Around that core Zapier now sells Tables (a lightweight database), Forms, Chatbots, Zapier MCP (an action layer other AI tools can call) and Zapier Agents.

Zapier Agents is the part that makes it an AI agent builder. Instead of fixed steps, you give an agent instructions, knowledge sources (FAQs, documents, public links) and access to apps. It decides what to do, acts across your tools on command or on a trigger, and you can monitor its activity and chat with it when it needs input. Zapier Copilot helps you create the agent from a description, and a Chrome extension lets agents work on web pages.

Zapier says on its Agents page that 3.4 million companies use it, and the breadth of its app catalog is the main reason it stays on every shortlist.

Pricing explained

Zapier has two meters, and you need to understand both.

Plan Price billed monthly Price billed annually What you get
Free $0 $0 100 tasks a month, two step Zaps, basic Agents, Chatbots and MCP access
Professional, 750 tasks $29.99 $19.99 Multi step Zaps, premium apps, webhooks
Professional, 2,000 tasks $73.50 Not checked Same features, more tasks
Professional, 10,000 tasks $193.50 $129 Same features, more tasks
Team, 2,000 tasks $103.50 $69 25 users, shared workflows, SAML SSO
Team, 10,000 tasks $253.50 $169 Same, more tasks
Enterprise Quote only Quote only Unlimited users, annual task limits, governance

Tasks. Every action a Zap completes is one task. A Zap that creates a contact, sends an email and posts to Slack uses three tasks each time it runs. That is why costs climb quickly: a 4 action Zap that runs 2,000 times a month uses 8,000 tasks, which lands on the $193.50 tier. When you hit your limit, Zapier can switch you to pay per task billing at a higher rate than your included tasks.

Agents activities. Agents are billed separately from Zaps.

Agents tier Price Activities a month Cap per run
Free $0 400 10
Pro $50 billed monthly, $400 a year 1,500 40

An activity is any billable action an agent takes: a trigger, an answer from a knowledge source, an app action, browsing or scraping, a web search or a message via the Chrome extension. A research agent that searches, reads three pages and updates a CRM record could use five or six activities per run, so 1,500 activities might cover 250 to 300 such runs a month.

Annual billing saves 33% across plans, and nonprofits can get an extra 15% off. Professional has a 14 day free trial. For a cross category view of per unit prices, see the AI Price Index.

Features

  • 9,000+ app integrations. The largest catalog among the builders we compare, including premium apps on paid plans.
  • Zapier Agents. Instructions, knowledge sources, app actions, activity monitoring and chat, built with Copilot.
  • Chrome extension. Lets agents take action on web pages, billed as activities.
  • Zapier MCP. Exposes Zapier actions to other AI tools, with basic access on the free plan.
  • Tables and Forms. Unlimited on every plan, so simple data storage and intake do not need another tool.
  • Code steps. JavaScript and Python steps for logic the visual editor cannot express.
  • Security. Zapier lists SOC 2 Type II, SOC 3, GDPR and CCPA, with SAML SSO and audit logs on higher plans.

Where it falls short: there is no self hosting, model choice for Agents is not published, and two separate meters make total cost harder to forecast than a single unit would.

Setup

Setup is the easiest in the category. You connect an app by signing in to it, pick a trigger and add actions from menus, or describe what you want and let Copilot build a draft. Agents follow the same pattern: describe the job, add knowledge, connect the apps, then test in the chat panel before turning on a trigger. Templates cover common jobs such as lead enrichment, support replies and meeting prep.

The main setup work is cost planning. Before you switch on a high frequency trigger, estimate actions per run times runs per month, and check the agent activity cap per run.

Who it is for

  • Non technical teams who want automations and agents working this week.
  • Businesses that depend on niche SaaS apps, since Zapier is the most likely to have a connector.
  • Companies that need a vendor with SOC 2 Type II and enterprise governance on the roadmap.
  • Low to moderate volume users, roughly under a few thousand tasks a month, where per task pricing stays affordable.

Who should skip it

  • High volume operations. If you run tens of thousands of actions a month, Make or n8n will cost a fraction as much. See Make vs Zapier and n8n vs Zapier.
  • Teams that must self host. Zapier is cloud only.
  • Engineers who want model level control. n8n lets you pick models per step, including local ones.
  • Anyone wary of renewals. Zapier's Trustpilot score is 1.3 from 324 reviews, with most complaints about refunds and automatic renewals. Set a calendar reminder before an annual plan renews.

Make is the closest like for like alternative at a much lower price per action, and n8n is the pick for technical teams. Both are reviewed in full: Make review, n8n review. Our best AI agent builders ranking covers six more options.

Verdict

Zapier remains the best starting point for teams without technical help: the largest catalog, the friendliest editor and a free plan that already includes AI agents. It earns the top slot in our agent builder ranking on reach and ease.

Go in with eyes open on cost. Tasks add up with every action and Agents add a second bill, so map your volume before you pick a tier, and move high volume workflows to Make or n8n once they start to dominate your invoice.

Frequently asked questions

Is Zapier worth it in 2026?

Yes for non technical teams with modest volume, because nothing else connects to as many apps with so little setup. It becomes poor value at high volume: 10,000 tasks costs $193.50 a month billed monthly, where Make charges $16 for 10,000 credits.

How much does Zapier cost?

Zapier Free is $0 for 100 tasks a month. Professional starts at $29.99 a month billed monthly for 750 tasks, $73.50 for 2,000 and $193.50 for 10,000. Team starts at $103.50 a month billed monthly for 2,000 tasks and 25 users. Annual billing saves 33%.

How much do Zapier Agents cost?

Agents have their own meter. The free tier includes 400 activities a month with up to 10 per run. Pro includes 1,500 activities a month with up to 40 per run for $50 a month billed monthly or $400 a year.

What counts as a Zapier task?

Each action a Zap completes counts as a task, so a Zap with four actions uses four tasks every time it runs. When you hit your limit you can switch to pay per task billing, which charges a higher rate than your plan's included tasks.

What counts as a Zapier Agents activity?

Any billable action an agent takes: using a trigger, answering from a knowledge source, running an app action, browsing or scraping a page, running a web search, or sending a message through the Chrome extension.

Does Zapier have a free trial?

Yes. Professional comes with a 14 day free trial, and the free plan has no time limit.

Can I self host Zapier?

No. Zapier is cloud only. If you need self hosting, n8n's Community Edition is the main alternative.

What are the best Zapier alternatives?

Make for the same no code approach at a far lower price per action, n8n for technical teams that want self hosting and per execution billing, and Lindy if what you really want is an AI assistant for email and meetings.
