Fact checked against each company's published pricing, documentation and verified user ratings. How we score
Lindy is the best AI agent for most small business owners in October 2026: it clears email, takes meeting notes, schedules and updates your CRM from $49.99 a month, with no workflows to design. If missed calls cost you the most, start with Smith.ai's free 25 call plan, and if you want AI moving data between your apps, start with Zapier's free plan.
Our top picks
An AI agent is software that does a job, not just answers a question. For a small business that means picking up the phone, replying to the chat on your site, writing up the client meeting, chasing the lead or posting the update. The nine agents below each own one of those jobs, and most can be running on a free plan this week. We ranked them on published prices, how much setup they need, security claims and public reviews.
How to choose
Do not start by shopping for "an AI agent". Start with the job that costs you the most time or money, then pick the agent built for it.
- The phone rings when you are on a job. An AI receptionist like Smith.ai answers, books and texts you a summary. See our full AI receptionist rankings for more options.
- Website visitors ask the same questions. A chat agent like Tidio Lyro answers from your FAQ and hands off to you when it should.
- Your inbox and calendar run your day. An assistant agent like Lindy drafts replies, schedules and keeps the CRM current.
- You copy data between apps. An automation platform like Zapier or Make moves it for you and can add an AI step where judgment is needed.
- Meetings produce notes nobody writes. A note taker like Fathom or Fireflies records, summarizes and logs action items.
- You write all day. A general assistant like ChatGPT drafts quotes, posts, policies and replies.
Then check three things: does it connect to the tools you already use, how does it bill (per call, per conversation, per credit or per seat), and what happens when you go over the plan.

What it costs
Most small businesses can start for $0 and grow into one or two paid plans. Here is what each pick costs at a realistic small business volume, using published prices.
| Job | Agent | Free option | First paid step |
|---|---|---|---|
| Inbox, calendar, CRM | Lindy | 7 day trial with $50 in credits | $49.99 a month for 5,000 credits |
| App automation | Zapier | 100 tasks and 400 agent activities a month | $29.99 a month billed monthly for 750 tasks |
| App automation, budget | Make | 1,000 credits a month | $16 a month billed monthly for 10,000 credits |
| Phone answering | Smith.ai | 25 calls a month | $150 a month for 75 calls |
| Website chat | Tidio Lyro | Free plan | Lyro $39 a month for 50 conversations |
| Meeting notes | Fathom | Unlimited recordings and transcripts | $20 per user a month billed monthly |
| Meeting notes | Fireflies | Unlimited transcription with auto join, 400 minutes storage | $18 per seat billed monthly, $10 annually |

| Support on HubSpot | HubSpot Customer Agent | 14 day trial with a seat purchase | $0.50 per resolution on Service Hub Professional from $100 per seat |
A $0 starter stack. Smith.ai Free answers 25 calls, Fathom Free records every meeting, Zapier Free runs 100 tasks and 400 agent activities, and ChatGPT Free handles drafting. That covers the phone, meetings, basic automation and writing without a bill.
A $100 a month stack. Add Lindy Team at $49.99 for inbox and CRM work, Make Core at $16 for heavier automation and ChatGPT Plus at $20, and you are at about $86 a month before any phone or chat volume charges.
The variable costs are calls and conversations. Smith.ai charges $2.10 to $3.00 per extra call depending on tier, and Tidio Lyro charges per conversation it replies to, so price those against the value of a booked job or a saved sale. For per unit rates across every category we track, see the AI Price Index or run your numbers in the cost calculator.
AI agent vs automation vs chatbot
These words get used interchangeably, so here is the plain version.
- A chatbot answers questions in a chat window from a script or your knowledge base.
- An automation follows fixed steps: when this happens, do that. It is cheap and predictable and breaks on messy input.
- An AI agent gets a goal and tools, decides which steps to take, and takes action: books the slot, updates the record, sends the follow up.
Most small businesses need a mix. Use automations for anything rule based (new order to spreadsheet), and put an agent where judgment is needed (reading a customer email and deciding what to do). Zapier and Make let you combine both in one place, which is why they rank high for owners who want to build a little. If you would rather not build at all, the job specific agents (Smith.ai, Tidio, Fathom, Lindy) come ready to work.
Red flags
- "Fully autonomous" claims. Start every agent in draft or approval mode. Let it send emails or change records on its own only after a week of checking its work.
- No published price. Relevance AI and Stack AI are strong platforms, but both list paid plans as quote only, which is a poor fit for a five person business. We left them out for that reason.
- Billing per attempt, not per result. Several chat and phone agents bill per conversation or call, whether or not the AI solved it. Know which unit you are paying for.
- Annual plans with no exit. Several vendors here have Trustpilot complaints about renewals and refunds. Start monthly, and set a reminder before any annual plan renews.
- No activity log. You need to see what the agent did and why. Skip any tool that cannot show you.
- Dead products. Relay.app, which still appears on some "best agent" lists, shut down in September 2026. Check that a vendor is alive before you build on it.
How we picked
We started from the products small business owners search for and the jobs they ask AI to do, then kept only agents with a published price or free plan, a clear billing unit and a setup a non technical owner can manage. For each one we opened the vendor's pricing and product pages in October 2026 and recorded only what was published, with ratings taken from listings we could open and their review counts.
Every product is graded on value, features, ease, integrations and trust using the rubric on How we score. The order is editorial: the best fit for the most small business readers on the verified facts. Vendors cannot pay for placement; see our disclosure.

Frequently asked questions
What is the best AI agent for a small business?
For most owners it is Lindy, because it handles the work that eats a founder's day (email, meetings, scheduling, CRM updates) without you designing workflows. If your biggest leak is missed calls, start with Smith.ai's free 25 call plan instead, and if you want AI moving data between apps, start with Zapier's free plan.
What can an AI agent do for a small business?
The jobs that pay off fastest are answering and booking phone calls, replying to website chats, taking meeting notes, sorting and drafting email, entering leads into a CRM and chasing invoices or follow ups. Each of those has a ready made agent in this guide, so you do not need to build anything from scratch.
How much does an AI agent cost for a small business?
Many start free: Zapier, Smith.ai, Tidio, Make, Fathom, ChatGPT and Fireflies all have free plans. Paid tiers usually land between $16 and $50 a month per tool, such as Make Core at $16, ChatGPT Plus at $20, Tidio Lyro from $39 and Lindy from $49.99. Phone and support agents scale with volume, for example $2.10 to $3.00 per extra call on Smith.ai.
Are AI agents worth it for a small business?
They are when they replace work you are already paying for or losing money on. A receptionist agent that books five extra jobs a month, or an inbox agent that saves an owner an hour a day, pays for a $50 plan many times over. Start with one free plan, measure the time or revenue it saves for a month, then add the next.
What is the difference between an AI agent and a chatbot?
A chatbot answers questions in a chat window. An agent takes actions: it books the appointment, updates the CRM, sends the follow up or files the ticket. Several picks here, such as Tidio Lyro and HubSpot Customer Agent, started as chatbots and now act as agents inside their own platform.
Do I need technical skills to use AI agents?
No for most picks here. Smith.ai, Tidio, Fathom, Fireflies, ChatGPT and Lindy work out of the box. Zapier is easy for simple automations. Make takes an afternoon to learn, and developer tools like n8n are better left to someone technical.
Is it safe to give an AI agent access to my email and customer data?
Check three things first: a published security standard such as SOC 2 Type II (Lindy, Zapier, Make and Fathom list it), a clear statement that your data is not used to train models, and an activity log so you can see what the agent did. Start agents in draft or approval mode before letting them send anything on their own.
Which AI agents work with QuickBooks or my CRM?
Zapier and Make connect to thousands of apps including the major accounting and CRM tools, so they are the usual bridge. Smith.ai syncs natively with HubSpot, Salesforce and Clio, Fireflies with Salesforce, HubSpot and Pipedrive, and HubSpot Customer Agent reads your HubSpot CRM directly.
