An AI agent is software that finishes a task for you by planning its own steps and using tools. In simple terms: you give it a goal, not instructions, and it decides what to do next, such as searching the web, opening an app, editing a file or sending an email, checking the result each time until the job is done or it needs your approval.

AI agents in simple terms

Think of the difference between asking a friend a question and hiring an assistant.

A chatbot is the friend: you ask, it answers, and anything that happens next is up to you. An AI agent is the assistant: you say "find three venues for a 40 person dinner in Austin under $3,000 and draft emails to each," and it goes off, searches, compares, writes the drafts and comes back with the result.

Anthropic's developer documentation puts it in one line: an agent is an application that completes a task by planning its own steps and calling tools that read files, run commands or edit code. OpenAI's Agents SDK describes the same pattern as a model equipped with instructions and tools, running in a loop until the task is complete.

How an AI agent works

Every agent, from a coding tool to a phone receptionist, runs the same loop:

  1. Goal. You state what you want, plus any rules ("do not send anything without asking me").
  2. Plan. A language model, such as GPT, Claude or Gemini, decides the next step.
  3. Act. It calls a tool: a web browser, a search API, your calendar, a CRM, a code terminal, a phone line.
  4. Observe. It reads what the tool returned.
  5. Repeat or stop. It picks the next step, asks you for approval, or reports that it is done.

Four parts make this work: the model (the reasoning), the tools (what it can touch), memory (what it remembers between steps and sessions) and guardrails (permissions, approvals and checks). Better agents differ mostly in tools and guardrails, not in the model.

AI agent vs chatbot vs automation

Chatbot Automation (workflow) AI agent
You provide A question Exact steps and triggers A goal
Who picks the steps You You, in advance The agent
Takes actions in other apps Rarely Yes Yes
Handles messy, new situations In conversation only Poorly Well
Predictability High Highest Lower; needs review
Example ChatGPT answering a question A Zapier zap that copies form leads to a sheet ChatGPT agent booking research and drafting emails

In practice the lines are blurring. ChatGPT, Claude and Gemini all have agent modes now, and automation platforms like n8n, Make and Zapier let you drop an agent step into a fixed workflow. That mix, fixed steps where you need reliability and an agent where you need judgment, is how most businesses use agents.

The academic textbook categories (simple reflex, model based, goal based, utility based and learning agents) still describe how agents decide, but buyers in 2026 choose by job, as in the table above.

What AI agents are good and bad at

Good at: multi step research, filling in the same kind of form many times, triaging email, first drafts of code and documents, answering support questions that repeat, and gluing apps together where no integration exists.

Bad at: tasks where one mistake is expensive (payments, legal filings, deleting data), long tasks with no checkpoints, and anything that depends on context the agent cannot see. They can also be tricked by instructions hidden in a web page or email they read, a risk called prompt injection.

Rules that keep agents safe:

  • Give the agent the fewest accounts and permissions it needs.
  • Require approval before it sends, buys, posts or deletes.
  • Keep logs and read them for the first few weeks.
  • Start with tasks where a mistake is cheap to undo.

Do you need one

If you repeat the same multi step job every week, such as researching leads, answering the same customer questions or copying data between apps, an agent will likely save time. Start with the agent already inside a tool you pay for (ChatGPT Plus, Claude Pro, Gemini, Microsoft 365) before buying a platform. Frequently asked questions

What is an AI agent in simple terms?

An AI agent is a program you give a goal instead of instructions. It figures out the steps, uses tools like a web browser, your email or a spreadsheet to carry them out, checks the results and keeps going until the job is done or it needs your approval.

What is the difference between an AI agent and a chatbot?

A chatbot answers in the conversation and stops. An agent takes actions outside the conversation: it can open websites, fill in forms, edit files, send emails or update a CRM, and it decides which action to take next. Many chatbots now include agent features, such as ChatGPT's agent mode.

What is the difference between an AI agent and automation?

Traditional automation, like a Zapier zap, follows the exact steps you set: when X happens, do Y. An agent is given a goal and chooses its own steps, which handles messy inputs better but is less predictable. Platforms like n8n, Make and Zapier now let you mix both.

What are examples of AI agents?

ChatGPT agent and Manus research and use a browser for you; Claude Code and OpenAI Codex write and run code; Intercom Fin answers support tickets; Smith.ai and other AI receptionists answer phone calls; Lindy handles email and calendar; Relevance AI runs sales prospecting agents.

Are AI agents safe to use?

They are safe when you limit what they can touch. Give an agent only the accounts it needs, require approval before it sends, buys or deletes anything, and review its logs. The main risks are mistakes taken at speed and instructions hidden in web pages or emails the agent reads, known as prompt injection.

How much does an AI agent cost?

Consumer agents come with $20 a month plans such as ChatGPT Plus, Claude Pro and Manus. Business agents usually bill by usage: Intercom Fin charges $0.99 per outcome, AI receptionists bill per minute or call, and developer agents built on APIs pay per token.

Can I build my own AI agent?

Yes. No code builders like n8n, Make, Zapier and Relevance AI let you connect a model to your apps visually, and developer kits like the OpenAI Agents SDK and Claude Agent SDK let you build one in a few lines of code. See our how to build an AI agent guide.
