Fact checked against each company's published pricing, documentation and verified user ratings. How we score
Motion is the most complete AI planner you can buy in October 2026: it auto schedules tasks into your calendar, runs projects with Gantt charts, writes docs and takes meeting notes, from $19 per seat per month. It is the right pick if it replaces two or three tools. Skip it if you only want focus time protected; Reclaim does that free or from $10.

Motion is the most complete AI planner: it auto schedules tasks, runs projects with Gantt charts, takes meeting notes and books meetings in one app. The tradeoff is price ($19 to $29 per seat with no free plan) and a pattern of Trustpilot complaints about trial charges and refunds.

What it is
Motion started as an auto scheduling calendar and has grown into a work management app. You add tasks with a priority, a deadline, a duration and any dependencies. Motion places each one in open time on your calendar, around meetings, and replans the day when something changes. A task that slips moves itself; a project that slips flags itself.
Around that core, Motion now bundles:
- AI calendar that combines Google, Outlook and iCloud calendars.
- Tasks and projects with an AI project manager that builds projects with tasks, deadlines and assignees and flags delays.
- Gantt charts, timelines and dashboards for project ETAs and team capacity.
- Booking pages that show your real availability.
- A meeting notetaker that writes notes, summaries and action items and can send follow up emails.
- AI docs, wiki and notes with search across docs, tasks and projects.
- Workflows that turn SOP documents into repeatable project templates.
Motion says over 1 million people and teams use it. The App Store lists the developer as NexusBird, Inc.
Pricing explained
| Plan | Price as listed | AI credits per seat | Extra credits | What it adds |
|---|---|---|---|---|
| Pro AI | $19 per seat per month | 7,500 | 25 cents per 100 | AI chat, projects and tasks, AI calendar and meetings, docs and wiki, task planner, writer, unlimited storage, iOS, Android and desktop apps, integrations |
| Business AI | $29 per seat per month | 15,000 | 19 cents per 100 | Everything in Pro AI plus team capacity planning, dashboards and reports, Gantt and timeline, time tracking, permissions, central billing, priority support |
Prices from Motion's pricing page in October 2026.
Annual billing. The toggle says paying annually saves 33%, but the page does not print annual prices. If the 33% applies to the listed rate, Pro AI would be about $12.73 per seat and Business AI about $19.43. Treat those as estimates until you see them at checkout.
Credits in practice. Credits meter the AI features (chat, writing, the planner and project generation). Scheduling tasks on your calendar is the core product. If you lean heavily on AI chat and docs, watch the meter: 7,500 credits run out sooner for a heavy writer than for someone who mostly schedules.
Seats. Billing is per workspace. Every member with Full Access (owner, admin or member) occupies a seat, and multiple workspaces are billed separately.
Worked examples. A solo founder on Pro AI pays $228 a year at the listed monthly rate. A five person team on Business AI pays $1,740 a year at the listed rate, or about $1,166 if the 33% annual saving applies.
Refunds. Motion's help center states purchases are non refundable and refunds are at its sole discretion; cancelling does not automatically refund anything. Given how many reviewers mention trial and renewal charges, set a calendar reminder before the trial ends.
Compared with rivals, Motion costs more than Reclaim ($10 to $15 per seat annually) and less than Sunsama for a single user ($22 monthly). Category prices sit in the AI Price Index.
Key features
Auto scheduling
The defining feature. Motion ranks tasks by priority, deadline and dependencies and books them into free time, then reshuffles when meetings move or a task runs long. Unlike calendar layers, the tasks live in Motion, so the scheduler knows durations, dependencies and assignees. The cost is commitment: you have to move your task list into Motion for it to work.
Projects, Gantt and capacity
The AI project manager drafts a project with tasks, deadlines and owners from a description, and Business AI adds Gantt and timeline views, capacity planning and dashboards that show project ETAs. For small agencies and startup teams, this can replace a separate project tool.
Calendar and booking pages
Motion merges Google, Outlook and iCloud calendars. Google syncs fastest; Outlook can be slower, on premises Exchange is not supported, and iCloud has a more limited feature set. Booking pages show your real availability, including time Motion has set aside for tasks.
Meeting notetaker
The notetaker produces notes, summaries and action items and can draft follow up emails to attendees. It saves buying a separate note taker, though Trustpilot reviewers report occasional invented action items and wrong names, so check summaries before sending them.
Docs, wiki and search
AI Docs drafts and organizes documents, search covers docs, tasks and projects, and docs can be published as links. Workflows turn a written SOP into a reusable project.
Integrations and apps
Motion lists Zoom, Gmail, Slack and HubSpot among its integrations, plus an API, with iOS, Android and desktop apps on every plan.
What users say
Motion holds 3.7 on Trustpilot from 578 reviews and 4.1 on the App Store from 1,856 ratings, both low for a productivity app at this price.
Recurring praise: tasks scheduled automatically save planning time, calendar sync across work and personal accounts is reliable, the notetaker captures action items, and day to day organization improves.
Recurring complaints: unexpected charges after the free trial or on renewal, sometimes for a full year; refunds refused and cancellations that were hard to complete; support that only offered an AI assistant; no clear way to delete an account and data; a steep learning curve; AI notes that invent action items; and underdeveloped project features. Trustpilot shows Motion replied to 6% of negative reviews.
Privacy and security
Motion states it is SOC 2 Type 2 compliant based on an independent audit, shows a GDPR badge, and says data is encrypted in transit and at rest. The pricing and homepage did not state whether customer data is used to train AI models, so ask before rolling it out with client data. Reviewers who wanted to delete their data reported no obvious way to do it; if that matters, contact support before you sign up.
Who it is for
- Founders and managers who want one app for tasks, projects and calendar and will commit to moving work into it.
- Small teams that would otherwise pay for a project tool, a scheduler and a note taker separately.
- People with many deadline driven tasks, where automatic replanning saves the most time.
Who should skip it
- Anyone who wants a free option. There is no free plan.
- Teams settled in Asana, Jira or ClickUp. You would duplicate your task system. Reclaim schedules those tasks for less.
- Buyers wary of billing friction. Non refundable purchases plus frequent charge complaints mean you should only start the trial when you are ready to evaluate it properly.
- People who mainly need booking links. Calendly or Cal.com do that better and cheaper.
Alternatives
- Reclaim.ai: calendar first AI scheduling on Google and Outlook, free to $15 per seat annually.
- Calendly and Cal.com: booking links and routing.
- Sunsama: a guided daily planner where you place tasks yourself.

Verdict
Motion is the most ambitious product in AI scheduling and the best choice if you want your tasks, projects, docs, meeting notes and calendar in one place that plans itself. At $19 to $29 per seat it can be cheaper than the tools it replaces. The tradeoffs are real: no free plan, annual prices you only see at checkout, a non refundable policy, and ratings dragged down by billing complaints. Run the trial with real work, decide before it ends, and choose Reclaim if you only need your existing calendar to defend your time.
