Reclaim.ai is the best value AI scheduling assistant in October 2026. The free Lite plan covers one person, Starter costs $10 per seat billed annually, and it works on top of the Google or Outlook calendar you already use, defending focus time, flexing habits and fitting tasks into open slots. Skip it if you want one app that also manages projects; that is Motion.

Reclaim is the best value AI scheduler: the free Lite plan covers one user, Starter is $10 per seat billed annually, and it works on top of the Google or Outlook calendar you already use. The tradeoff is that it is a calendar layer, not a task manager, and Trustpilot reviewers complain about events it adds on its own.

What it is

Reclaim is an AI layer for your calendar. You connect Google Calendar or Outlook, tell it what matters (deep work hours, a daily workout, lunch, a weekly one on one, tasks from Asana or Todoist) and it places those as events in open time. When a meeting lands on top of one, Reclaim moves the flexible event somewhere else. Your calendar stays your calendar; Reclaim just keeps rearranging the movable parts.

The product is organized around what Reclaim calls AI Agents, each a type of smart event:

  • Focus Time: set a weekly target, such as 10 hours, and Reclaim books and defends blocks to hit it.
  • Habits: recurring routines that float within a window you set.
  • Tasks: synced from your task app and scheduled by priority and due date.
  • Smart Meetings: recurring meetings that find a time that works for every attendee and move when conflicts appear.
  • Scheduling Links: booking pages for people outside your team.
  • Buffer Time: breaks, prep and travel time around meetings.
  • Calendar Sync: blocks time across multiple calendars so personal and work schedules do not collide.

Reclaim says it has 600,000+ users across 70,000 companies. Its site now describes it as a Dropbox company, and when Clockwise shut down on March 27, 2026, Clockwise pointed its users to Reclaim. That makes Reclaim the main survivor among calendar first AI schedulers.

Pricing explained

Reclaim prices per seat, with seat caps on each tier.

Plan Monthly billing Annual billing Seats Main limits
Lite $0 $0 1 user 5 AI Agents, 1 week range, 1 calendar sync, 1 scheduling link, limited integrations
Starter $12 per seat $10 per seat Up to 10 10 AI Agents per seat, 8 week range, 3 syncs, 3 links, unlimited integrations
Business $18 per seat $15 per seat Up to 100 100 AI Agents per seat, 12 week range, unlimited syncs and links, webhooks, Team OOO calendar, delegated access
Enterprise Not offered $22 per seat Over 100 Unlimited AI Agents, SSO and SCIM, org chart aware scheduling

Prices as listed on Reclaim's pricing page in October 2026.

What the limits mean in practice:

  • AI Agents are the count of smart items you can run, such as habits and focus goals. Five on Lite is enough for a focus goal, lunch and a few habits. Ten per seat on Starter covers most individuals.
  • Scheduling range is how far ahead Reclaim plans. One week on Lite means a task due in three weeks will not be placed until it is close. Eight weeks on Starter is fine for most people; 12 weeks on Business suits project heavy roles.
  • Calendar Syncs matter if you run more than one calendar. Lite syncs one; Starter three; Business unlimited.
  • Organizer Meetings (Smart Meetings you run) are listed at 5 on Lite, 10 on Starter and 100 on Business.

Worked examples. A solo consultant on Starter annual pays $120 a year. A 10 person team on Business annual pays $1,800 a year; on monthly billing, $2,160. A 150 person company on Enterprise pays $39,600 a year.

Hidden costs and fine print. The pricing page carries rotating promotions (a 30% off banner and a discount code during October 2026), and the annual saving is shown as 20% on the toggle but 29% in the FAQ. Use the per seat figures above, which are what the plan cards print. Attendee User add ons, sold in blocks for people who join meetings without a paid seat, were listed as free through July 31 with prices from $8 per month for 3 on Starter annual. Students and educators get 50% off for 12 months, and nonprofits 20% off for three years. A free 14 day trial is mentioned, though the page does not say which plan it applies to.

Against rivals, Reclaim is the cheapest paid AI scheduler we track: Motion starts at $19 per seat and Sunsama at $22. See the full spread in the AI Price Index.

Key features

Focus Time and Habits

This is the reason most people install Reclaim. You set a weekly focus target and working hours, and Reclaim books focus blocks as busy or free (your choice) and defends them as the week fills. Habits work the same way for anything recurring: a workout between 6 and 9 AM, a daily email hour, a Friday review. Because they flex, a 30 minute habit can slide from 11:00 to 2:30 when a client call lands. Reclaim's site cites an average of 7.6 more focus hours per week and 2.3 fewer meetings per week for users; those are vendor figures, not independent data.

Task scheduling

Reclaim pulls tasks from Asana, Todoist, Jira, ClickUp, Linear and Google Tasks, then finds time for them by priority and due date, splitting long tasks into chunks if you allow it. It is not a task manager itself: you still create and organize work in your task tool. That is the key difference from Motion, which is the task manager.

Smart Meetings

For recurring internal meetings, Smart Meetings find a slot that works for every attendee and move when someone's calendar changes. This is the feature most likely to reduce scheduling threads inside a team, and it is capped by plan (5 organizer meetings on Lite, 10 on Starter, 100 on Business).

Scheduling Links

Reclaim's booking pages position it as a Calendly alternative, and they respect your focus and habit time, so a booking does not wipe out a protected block unless you allow it. Reclaim claims 524% more meeting availability than Calendly; that is its own marketing comparison. For external booking with routing forms or round robin across sales reps, Calendly remains the stronger tool.

Calendar Sync and Buffer Time

Calendar Sync copies busy blocks between calendars, so your personal Google calendar blocks your work Outlook calendar and vice versa. Buffer Time adds breaks after meetings, travel time and prep. Both are small features that remove a lot of manual blocking.

AI Assistant, Planner and analytics

Reclaim adds a chat based assistant for scheduling requests and conflict resolution, a daily planner, time tracking and team level workforce analytics. Business adds a Team OOO calendar and delegated access for assistants who manage someone else's schedule.

Integrations

Slack (status sync and notification blocking), Zoom, Microsoft Teams and Google Meet, the task apps above, Raycast and webhooks on Business. HubSpot and Salesforce are listed as coming soon.

What users say

Reclaim's own site cites 4.8 stars on G2; we could not open G2 to confirm the count, so we do not list it in the spec sheet. On Trustpilot, Reclaim scores 2.2 from just 23 reviews, and Trustpilot notes the company has not invited reviews, so the sample is small and skews toward complaints.

Recurring praise: protected focus time, easy setup with Google Calendar, separating "due" dates from "do" dates, and a lower price than Motion.

Recurring complaints: focus, lunch and habit events appearing on calendars without warning (some reviewers say they persisted after uninstalling), meetings with fixed times being moved, a confusing interface, trouble cancelling or unclear trial billing, slow support on sync problems, and no mobile app. The calendar event complaints are the most useful warning: set every habit's visibility and flexibility deliberately before you invite a team.

Privacy and security

Reclaim lists SOC 2 Type II, GDPR and DPF compliance, SSO and SCIM on Enterprise, a 99.9% uptime claim and live support with a stated average response under 20 minutes. It states that it does not train AI on customer data. By design, Reclaim has to create and move events on your calendar and see your existing events to find conflicts. If your calendar holds sensitive client names, connect only the calendars you need it to plan around, and read the privacy policy linked from the pricing page before rolling it out to a team.

Who it is for

  • Individuals on Google Calendar or Outlook who want focus time and habits protected without changing tools. The free plan is enough to judge it.
  • Teams already using Asana, Jira, ClickUp, Linear or Todoist that want tasks to show up as calendar time.
  • Managers juggling recurring one on ones, where Smart Meetings save the most back and forth.
  • Former Clockwise users, since Clockwise's own shutdown notice recommends Reclaim.

Who should skip it

  • People who want one app for tasks and projects. Reclaim schedules tasks you keep elsewhere. Motion is the all in one choice.
  • Sales teams that live on booking links. Routing forms, round robin and CRM qualification are stronger in Calendly.
  • Anyone who dislikes an app writing to their calendar. Reclaim's value is that it creates and moves events; if that makes you uneasy, a planner like Sunsama, where you place tasks yourself, fits better.

Alternatives

  • Motion: tasks, projects, docs, notetaker and auto scheduling in one app, from $19 per seat.
  • Calendly: the standard for external booking links and routing, from $10 per seat.
  • Cal.com: open source scheduling with unlimited event types free.
  • Sunsama: a guided daily planner, $22 per month or $17 yearly.

All five are ranked in our best AI scheduling assistant guide, and the scheduling link tools in Calendly alternatives.

Verdict

Reclaim does one job very well: it turns the calendar you already use into a schedule that protects your priorities. The free plan is generous enough for one person to judge it, Starter at $10 per seat annually is the cheapest paid AI scheduler we track, and SOC 2 plus a no training statement cover the basics for business use. Set up habits carefully, since the most common complaint is events landing on calendars people did not expect, and pick Motion instead if you want your tasks and projects to live in the scheduler too.

Frequently asked questions

Is Reclaim.ai free?

Yes. The Lite plan is free forever for a single user. It includes 5 AI Agents (habits, tasks, focus and similar), one scheduling link, one calendar sync and a one week scheduling range. Teams and longer planning horizons need Starter or Business.

How much does Reclaim.ai cost?

Starter is $12 per seat per month billed monthly or $10 billed annually, for up to 10 seats. Business is $18 monthly or $15 annually, for up to 100 seats. Enterprise is $22 per seat on annual billing only, for teams over 100.

Does Reclaim.ai work with Outlook?

Yes. Reclaim lists Google Calendar and Outlook Calendar and can sync availability across both providers, so a personal Google calendar and a work Outlook calendar block each other.

Is Reclaim.ai better than Motion?

For most people who already use a task app, yes, because it is free to start and costs $10 to $15 per seat against Motion's $19 to $29. Motion is better if you want tasks, projects, docs and the calendar inside one app. See our [Reclaim vs Motion comparison](/reclaim-ai-vs-motion).

Does Reclaim.ai have a mobile app?

Reclaim works through your existing calendar apps, since its events land on Google or Outlook. Trustpilot reviewers list a dedicated mobile app among missing features, so expect to manage settings on the web.

Is Reclaim.ai safe to connect to my calendar?

Reclaim lists SOC 2 Type II, GDPR and DPF compliance and SSO and SCIM on Enterprise, and states it does not train AI on customer data. It does need write access to your calendar, which is how it creates habit and focus events.

Who owns Reclaim.ai?

Reclaim's site identifies it as a Dropbox company; the footer still reads Reclaim.ai, Inc. When Clockwise announced it would shut down on March 27, 2026, it recommended Reclaim to its users.

Can Reclaim.ai replace Calendly?

For internal and simple external booking, yes: Scheduling Links are unlimited on Business. Calendly is still stronger for routing forms, round robin across sales teams and CRM driven lead qualification.
