What each limit means in practice
How tasks are counted
Zapier's task rates page lists what uses tasks:
| Step type | Tasks used |
|---|---|
| Standard trigger or action step | 1 per step |
| Formatter, Paths, Filters, Delay, Looping, Sub Zaps, Digests, Storage, Tables, Forms | 0 |
| Lead Router | 5 per step |
| Code step (JavaScript or Python) | 1 per step, plus 1 per 30 seconds of extended runtime |
| AI by Zapier, standard model | 1 per AI step (no tool calls) |
| AI by Zapier, advanced model | 3 per AI step plus 3 per tool call |
| AI by Zapier, premium model | 5 per AI step plus 5 per tool call |
| AI by Zapier, your own model key | 1 per step plus 1 per tool call; you pay the provider |
| Zapier MCP tool call | 2 per call |
All of these draw from one shared pool. Zap workflows, AI steps, code, MCP and the SDK have no separate budgets. Only successful steps count.
Two step Zaps on Free
Free allows one trigger and one action. That is fine for "new form entry, add a row," but nearly every business workflow has more than one action. Plan on Professional.
Tables and Forms limits
Tables are unlimited in count on every plan, with records capped at 2,500 per account on Free, 100,000 on Professional and 500,000 on Team. Forms allow 10 pages on Free, 50 on Professional and 150 on Team.
Worked examples
Lead follow up, 300 leads a month. A Zap adds each lead to the CRM, posts a Slack alert, enrolls an email sequence and creates a task: 4 action steps x 300 = 1,200 tasks. The 750 task Professional tier is too small, so you need the 2,000 task tier at $73.50 a month billed monthly.
AI ticket triage, 2,000 tickets a month. Each ticket runs an AI step on an advanced model (3 tasks), then a Paths branch (0), then 2 actions: create the ticket and notify the team (2 tasks). That is 5 tasks x 2,000 = 10,000 tasks. Professional at 10,000 tasks costs $193.50 billed monthly or $129 billed yearly. Switch to a premium model and the AI step alone becomes 5 tasks, taking you to 14,000.
An agent researching inbound leads. A Zapier Agent that uses about 10 activities per lead, on 150 leads a month, uses 1,500 activities: exactly the Agents Pro allowance at $50 a month. Add a Professional plan for the Zaps it triggers and the stack costs about $80 a month.
MCP from Claude or Cursor. An assistant that makes 400 Zapier MCP tool calls a month uses 800 tasks, more than the 750 included on entry Professional.
Hidden costs
- Pay per task overage. Zapier states overage tasks bill at a higher rate than plan tasks. Turn it off if you would rather have Zaps pause.
- Model tier multiplier. Picking a premium model in AI by Zapier multiplies a step's task use by 5, and every tool call the model makes is billed again.
- Agents are separate. The Agents meter does not draw from tasks, so you can hit one limit while the other has room.
- Team for SSO. SAML SSO starts on Team, so security reviews often force the jump from $29.99 to $103.50 a month.
- Monthly tasks do not roll over.
Annual vs monthly
Yearly billing cuts every paid Zap plan by about a third: $29.99 to $19.99 on entry Professional, $193.50 to $129 at 10,000 tasks and $103.50 to $69 on Team. Agents Pro drops from $50 to $33.33 a month. Pay yearly once your task volume is stable for three months; monthly is safer while you are still building.
How Zapier compares on price
| Platform | Entry paid plan | What you get |
|---|---|---|
| Zapier | $29.99 a month ($19.99 yearly) | 750 tasks |
| Make | $16 a month ($12 yearly) | 10,000 credits |
| n8n | €24 a month (about $27) | 2,500 full workflow executions, unlimited steps |
| Relevance AI | $29 a month ($19 yearly) | 2,500 Actions |
| Gumloop | $37 a month | 20,000 credits |
| Lindy | $49.99 a month | 5,000 credits |
Per unit, Zapier is the most expensive mainstream automation tool: 750 tasks for $29.99 is about 4 cents a task, against well under 1 cent per credit on Make Core. You pay that premium for 9,000+ apps and the easiest builder. See the AI Price Index for the full category table and Zapier alternatives if the math does not work.

Frequently asked questions
How much does Zapier cost per month?
Zapier Free costs $0 for 100 tasks a month. Professional starts at $29.99 a month billed monthly, or $19.99 a month billed yearly, for 750 tasks. Team starts at $103.50 a month billed monthly or $69 billed yearly for 2,000 tasks and 25 users. Enterprise is quote only.
What counts as a task in Zapier?
A task is one successful unit of work, usually one completed action step in a Zap, like creating a CRM contact. Failed actions do not count. Built in tools such as Formatter, Paths, Filters, Delay, Looping, Tables and Forms use 0 tasks, while AI steps use 1 to 5 tasks depending on the model tier and Zapier MCP tool calls use 2.
Is Zapier Agents included in my plan?
Every account gets Agents Free with 400 activities a month. More usage needs Agents Pro at $50 billed monthly or $400 billed yearly ($33.33 a month) for 1,500 activities. Agents activities are a separate meter from Zap tasks.
What happens when I run out of Zapier tasks?
If pay per task billing is on, your Zaps keep running and extra tasks are charged at a higher per task rate than your plan's tasks, up to a maximum. If it is off, your Zaps pause until the next usage period. Zapier emails you as you approach the limit.
Is Zapier cheaper billed annually?
Yes. Zapier says paying yearly saves 33%. Professional drops from $29.99 to $19.99 a month at 750 tasks, and Team from $103.50 to $69 a month at 2,000 tasks.
Is the Zapier free plan enough?
Only for light personal use. Free includes 100 tasks a month and two step Zaps, meaning one trigger and one action. Any workflow with more than one action, premium apps or webhooks needs Professional.
Does Zapier have a nonprofit discount?
Yes. Zapier lists a 15% discount on any paid plan for nonprofits, excluding pay per task charges.
Why is Zapier so expensive compared with Make or n8n?
Zapier bills per action, so long workflows multiply tasks, and its entry plan includes 750 tasks versus 10,000 credits on Make Core at $16 a month. You pay for the 9,000+ app catalog and the easiest builder. For high volume, multi step workflows, Make or self hosted n8n usually cost less.
