Fact checked against each company's published pricing, documentation and verified user ratings. How we score
Fathom is the best free AI note taker you can get in October 2026. The free plan records, transcribes and summarizes every Zoom, Meet and Teams call with no cap and unlimited storage, and the product holds a 5.0 on G2 from 7,085 reviews. The catch: action items, CRM field sync and coaching sit on paid plans from $16 to $25 a user annual.

The strongest free plan in the category on published terms: unlimited recordings, transcripts and instant summaries, plus a 5.0 G2 score across 7,085 reviews. The tradeoff is that action items, advanced summaries and the AI chat assistant need Premium at $20 per month, and CRM field sync needs Business at $34 per seat.

What it is
Fathom is an AI meeting assistant for Zoom, Google Meet and Microsoft Teams. It joins your calls (or, on Mac, can capture without a bot as a beta), records audio and video, writes a transcript and produces a summary as soon as the call ends. You can clip moments, build playlists of highlights and search across every call you have recorded.
The company's pitch is focus: let the software take notes so you can stay in the conversation. Its homepage says it is used at 300,000+ companies and lists SOC 2 Type II, GDPR and HIPAA compliance.
Fathom sells to two audiences with two sets of plans. Individuals get Free and Premium. Teams get Team, Business and Enterprise, all with a 2 user minimum.
Pricing explained
| Plan | Monthly | Annual | What it adds |
|---|---|---|---|
| Free | $0 | $0 | Unlimited recordings and transcription, instant summaries, clips, playlists, search |
| Premium | $20 per user | $16 per user | Advanced summaries, AI action items, conversational meeting assistant, custom bot |
| Team | $19 per user | $15 per user | Premium plus global search across team calls, shared playlists, comments, folders, keyword alerts |
| Business | $34 per user | $25 per user | CRM field sync, Deal View, coaching metrics, AI scorecards, custom summaries |
| Enterprise | Not listed | $35 per user | SSO and SCIM, custom data retention, security controls, dedicated success manager |
Prices are as listed on Fathom's pricing page in October 2026. Team plans need at least 2 users, and every paid plan carries a 90 day guarantee.
A few things stand out.
Team is cheaper than Premium. A two person team on Team pays $15 a user on annual billing, a dollar less than one person on Premium, and gets everything in Premium plus team search and collaboration.
The annual discount is worth taking. Business drops from $34 to $25, a 26% saving. For a 10 person sales team that is $4,080 a year on monthly billing against $3,000 on annual.
CRM field sync is the expensive step. The jump from Team ($15 annual) to Business ($25 annual) is what you pay for automatic CRM updates and coaching. Rivals put CRM integrations lower: Fireflies includes Salesforce, HubSpot and Pipedrive on its $10 Pro seat.
Startup and nonprofit offers. Fathom lists up to 2 years of Team free for affiliated startups of select VCs and accelerators, 10 free seats for nonprofits, and Business free through your contract term if you switch from Gong.
Features
Recording and transcription. Unlimited on every plan, including free, with unlimited call storage and downloads. This is the headline, and it is what separates Fathom from Fireflies (400 minutes of free storage per team), Otter (300 free minutes a month) and tl;dv (AI notes on 10 free meetings).
Summaries. Free includes instant AI call summaries. Premium and above add advanced summaries and AI generated action items, and Business adds custom summaries you can shape to your own format.
Ask Fathom. A conversational assistant that answers questions about a call. It is unlimited for your own calls on paid plans, and account wide Ask Fathom across all calls is in beta.
Bot free capture. Every plan offers a choice of bot free or bot capture. Bot free is a beta on Mac, so Windows users still get a bot.
Team workspace. Team adds global search, shared playlists, folders, comments and keyword alerts. Business adds Deal View, coaching metrics and AI scorecards.
Integrations. HubSpot and Salesforce for CRM, Slack, Zapier, Make, Asana, a public API and MCP, and integrations with Claude and ChatGPT. Automatic CRM field sync is on Business.
Security. SOC 2 Type II, GDPR, HIPAA with a signed BAA, SSO and SCIM on Enterprise, and custom data retention on Enterprise.
What we could not confirm: Fathom does not list supported transcription languages on its pricing page. If you meet in languages other than English, check its help center before committing.
Setup
Setup is a sign up and a calendar connection. Fathom then joins scheduled Zoom, Meet and Teams calls, or you start capture yourself. Mac users can switch on bot free capture in beta. Team admins can rename the bot or disable the in meeting banner on the right plans, and CRM field sync needs a Business plan and a CRM connection.
There is nothing to install for basic bot capture, which makes Fathom one of the easiest note takers to roll out across a team.
Who it is for
- Individuals and freelancers who want unlimited notes for $0.
- Small teams that want shared search and highlights for $15 a user annual.
- Sales and customer success teams that want coaching, scorecards and CRM field sync in one tool, and teams leaving Gong who qualify for the switch offer.
Who should skip it
- Budget teams that only need CRM sync. Fireflies includes Salesforce, HubSpot and Pipedrive on a $10 annual seat.
- People who never want a bot. Unless you are on a Mac and comfortable with a beta, Granola or Krisp capture bot free on every system.
- Multilingual teams until Fathom publishes its language list. Fireflies lists 100+ languages, Notta 58 and Granola 31.
Verdict
Fathom earns our top spot in the best AI note takers ranking on the strength of a free plan with no meaningful cap, a 5.0 G2 score from more than 7,000 reviews and published security credentials. Start free. Upgrade to Team when you want shared search, and to Business only if CRM field sync and coaching are worth $10 a seat more than Team. If CRM sync is the only paid feature you need, compare Fireflies first. For a free plan comparison across nine tools, see the free AI note taker guide.
