Fact checked against each company's published pricing, documentation and verified user ratings. How we score
Apollo.io is the best value outbound platform for most small teams: $65 per seat a month, or $49 billed annually, buys a B2B database, unlimited sequences, a dialer and AI research, and there is a free plan. Its weak spots are data accuracy and rigid billing, the two most repeated complaints in 1,369 Trustpilot reviews.

The best value starting point for outbound: one seat gets you a contact database, unlimited sequences, a deliverability suite and AI research for $49 a month on annual billing. The tradeoff is data quality and billing rigidity, which are the two most repeated complaints across 1,369 Trustpilot reviews averaging 3.1.

What it is
Apollo.io is a sales platform that combines four tools most teams otherwise buy separately: a B2B contact and company database, an email sequencer with deliverability tools, a dialer with call recording, and a light CRM for leads and deals. On top of that it adds AI: an assistant, AI research on accounts, AI writing and, on Professional, AI lead scoring.
Apollo says more than 600,000 companies use it. Its pitch is that a founder or small sales team can find prospects, enrich them, email and call them, and track deals without stitching tools together.
It is not an autonomous AI SDR. A person still decides who to target and what the sequence says. Apollo's AI makes that person faster.
Pricing explained
Prices as listed on Apollo's pricing page in October 2026.
| Plan | Monthly billing | Annual billing | Credits | Key limits |
|---|---|---|---|---|
| Free | $0 | $0 | 900 per seat per year, granted monthly | 2 sequences, 1 mailbox, 250 emails a day |
| Basic | $65 per seat | $49 per seat | 2,500 per seat a month (30,000 a year on annual) | Unlimited sequences, 1 mailbox, 250 emails a day |
| Professional | $99 per seat | $79 per seat | 4,000 per seat a month (48,000 a year on annual) | Unlimited daily sends, unlimited Google and Microsoft mailboxes |
| Organization | Annual only | $119 per seat, 3 seat minimum | 72,000 per seat a year | 12 intent topics, unlimited meeting events |
What credits buy
- Verified email: 1 credit
- Phone number: 8 credits
- Enrichment: 1 to 8 credits
- AI research: 1 credit per run
- US dialer: 1 credit per 30 seconds
On Basic, 2,500 credits a month is 2,500 email reveals, or about 312 phone numbers, or a mix. Credits are pooled across the team and do not roll over. If you buy extra credits on the slider, they renew every cycle until you drag it back to zero.
Price math
- Solo founder on Basic, annual: $49 x 12 = $588 a year for 30,000 credits.
- 3 rep team on Professional, monthly: 3 x $99 = $297 a month for 12,000 credits a month and no daily send cap.
- Org plan minimum: 3 x $119 x 12 = $4,284 a year.
The annual discount is 24%, which is meaningful, but annual locks you in: you cannot move to monthly until the term ends, and downgrades are not refunded.
Add ons
The Inbound add on (website visitor identification, routing, forms) costs $119 a month on Essentials or $639 on Max, per team, billed annually. The Advanced Dialer (international, parallel and power dialing, local presence) is $119 a month per team, billed annually.
Features
Database and search. Apollo's own B2B database with basic filters on Free and advanced filters, intent topics and lookalikes on paid plans. Record selection limits rise from 25 on Free to 10,000 on Organization.
Enrichment. Waterfall enrichment from partner providers, CSV and CRM enrichment and API enrichment on paid plans.
Sequences. 2 on Free, unlimited on paid plans, with A/Z testing on Professional and up. AI writing allowances run from 5,000 words a month on Free to 1,000,000 on Organization.
Deliverability. Basic and up include a deliverability suite, email warmup and domain and mailbox purchasing. The catch is volume: Free and Basic allow 1 mailbox per user and 250 emails a day. Professional unlocks unlimited Google and Microsoft mailboxes plus 5 SMTP mailboxes per user and unlimited daily sends.
Calling. US dialer on paid plans, billed in credits, and call recording with AI insights (150 minutes on Basic, 4,000 on Professional).
Integrations. Salesforce, HubSpot, Outreach, Salesloft, Marketo, Sendgrid and major email providers, plus a Chrome extension that works on LinkedIn and Gmail.
Setup
You can sign up free and start searching in minutes. A useful setup takes longer:
- Connect a sending mailbox. Free accepts Gmail only; paid plans accept Microsoft and other providers.
- Buy or connect separate sending domains and turn on warmup. One Trustpilot reviewer reports that a 90 day warm up period was enforced after purchase, so plan ahead.
- Define your ICP filters and save a list.
- Verify and enrich the list before sending.
- Build a sequence and start at low daily volume.
Data quality and deliverability limits
This is the main risk, so it gets its own section. Apollo scores 3.1 on Trustpilot from 1,369 reviews. Recurring complaints include contact details that are incomplete or wrong and need cross checking, sequences that did not execute, email delivery failures and account lockouts. Others describe salespeople overselling capabilities and rigid contract enforcement.
None of this is unusual for a large database product, but it changes how you should use Apollo. Treat its data as a starting list, verify before sending, and keep Basic's 250 emails a day cap in mind when you plan volume.
Who it is for
- Founders and small teams starting outbound who want one tool and one bill
- Sales teams that email and call from the same workspace
- Teams that want a free plan to test before paying
- Salesforce and HubSpot users who want enrichment synced into the CRM
Who should skip it
- Teams that need an agent to run outbound on its own; see Reply.io's Jason or AiSDR
- High volume cold emailers on a budget; Instantly vs Smartlead is cheaper per email
- Teams whose results depend on very accurate data; pair or replace with Clay, see Apollo vs Clay
- Buyers who want flexible terms: annual plans cannot be downgraded with a refund
Verdict
Apollo is the best first outbound tool for most small teams because it covers data, sequences, calling and AI research for $65 per seat a month, or $49 annual, with every limit published. Go in with clear eyes on data accuracy and billing: verify before you send, start monthly, and only move to annual once your bounce rate and meeting rate hold. It ranks first in our best AI SDR tools guide on value and coverage, not because its AI runs outbound by itself.

Gong4.0Frequently asked questions
Is Apollo.io worth it?
For most small teams starting outbound, yes. $65 per seat a month, or $49 on annual billing, buys a contact database, unlimited sequences, a dialer and AI research, which would otherwise take two or three tools. It is less worth it if you need very accurate data without verification, or very high email volume on the Basic plan.
How much does Apollo.io cost?
Free is $0. Basic is $65 per seat a month on monthly billing or $49 on annual. Professional is $99 monthly or $79 annual. Organization is $119 per seat a month on annual billing with a 3 seat minimum. Add on Inbound costs $119 to $639 a month per team and the Advanced Dialer $119.
How do Apollo credits work?
Credits pay for data and some actions: 1 credit per email, 8 per phone number, 1 to 8 for enrichment, 1 per AI research run and 1 per 30 seconds on the US dialer. Credits are pooled across your team, granted at the start of each cycle and reset without rolling over. Extra credits renew automatically until you remove them.
Is Apollo.io data accurate?
It is usable but not perfect. Trustpilot reviewers repeatedly report incomplete or wrong contact details that need cross checking. Apollo offers waterfall enrichment from partner providers on paid plans, and you should verify emails before sending to protect your domains.
Does Apollo have a free trial?
Yes. Paid plans include a 14 day trial with 75 credits and most features. When the trial ends you can upgrade or drop to the free plan, which has no time limit.
Can I cancel Apollo anytime?
Monthly plans can be cancelled and the cancellation takes effect at the end of the term. Annual plans cannot be switched to monthly mid term, and downgrades take effect immediately with no refund for unused time. Billing and cancellation complaints are common on Trustpilot, so set a reminder before renewal.
Is Apollo an AI SDR?
Not in the autonomous sense. Apollo includes an AI assistant, AI research, AI writing and AI lead scoring, but a person sets the targeting and builds the sequences. If you want an agent that runs outbound on its own, compare Reply.io's Jason or AiSDR.
