Fact checked against each company's published pricing, documentation and verified user ratings. How we score
Read AI is worth it if you want one assistant that summarizes meetings, email and chat together, with unlimited transcripts from $15 a user on annual billing. As a pure meeting note taker it is pricier than Fireflies ($10) and Otter ($8.33), its free plan stops at 5 meetings a month, and video playback needs the $22.50 Enterprise tier.

A good fit if you want one assistant across meetings, email and chat, with SOC 2 Type 2 and HIPAA listed. The free plan stops at 5 meeting transcripts a month, so most users will pay $19.75 monthly or $15 annual.

What it is
Read AI is an AI meeting assistant that joins Zoom, Google Meet and Microsoft Teams calls, transcribes them, writes meeting reports and adds metrics like engagement, sentiment and talk time. It runs on Windows, macOS, iOS, Android and as a Chrome extension, so it can also capture in person meetings and calls from your phone.
The difference from Otter or Fathom is scope. Read AI also summarizes email and messaging (its site lists Outlook and Slack, plus Gmail through its Chrome extension) and lets you search across all of it with Ask Read, which uses Anthropic Claude and OpenAI GPT models. It is also available as a Claude connector, a ChatGPT app and an MCP server.
Pricing explained
| Plan | Monthly | Annual | Transcripts | Max meeting | File uploads |
|---|---|---|---|---|---|
| Free | $0 | $0 | 5 per month | 1 hour | Not included |
| Pro | $19.75 per user | $15 per user | Unlimited | 4 hours | 100 minutes a month |
| Enterprise | $29.75 per user | $22.50 per user | Unlimited | 4 hours | 200 minutes a month |
| Enterprise+ | $39.75 per user | $29.75 per user | Unlimited | 8 hours | 300 minutes a month |
Prices are as listed on read.ai/plans-pricing in October 2026. Annual billing saves 25% on each tier, and Enterprise+ needs 5 or more licenses.
Pro covers most people. Unlimited transcripts, unlimited storage, Workspace access and the premium integrations (Notion, Salesforce, HubSpot, Jira, Confluence, Zapier and webhooks) all start on Pro.
Playback is a paid step up. You cannot replay the audio or video of a meeting on Pro. Audio and video playback and video highlights are on Enterprise at $22.50 annual. Fireflies includes video recording on its $10 Pro seat.
HIPAA has a minimum. HIPAA, SAML SSO, SCIM, domain capture and custom data retention are Enterprise+ only, with at least 5 licenses. That is $1,785 a year minimum on annual billing, still cheaper than most enterprise contracts.
Every license is individual and on the same plan. The FAQ says you cannot mix Pro and Enterprise seats in one Workspace, there are no admin only licenses, and sharing an account breaks the terms of service.
Discounts and refunds. Volume discounts are 10% at 100+ annual licenses, 15% at 500+ and 20% at 1,000+. There are no refunds; you keep access until the end of the billing period after cancelling.
Zoom Essential Apps. Read AI says Zoom One Pro, Business and Business Plus subscriptions can get its premium features at no cost through Zoom Essential Apps.
Key features
Meeting reports
Each meeting gets a report with a summary, topics, action items and key questions, plus the speaker separated transcript. Free accounts get 5 a month.
Live notes and metrics
An in meeting dashboard shows transcription, summaries and metrics in real time. Free gets 5 a month, paid plans unlimited.
Meeting coach
A personal coaching report tracks talking speed, filler words, bias and charisma, and coaching trends follow you across meetings. No other mainstream note taker leans this hard into speaker coaching for individuals.
Email and message summaries
Read summarizes email and messaging alongside meetings, on every plan including Free. This is the reason to choose Read AI over a meeting only tool.
Ask Read search
Search across meetings, emails and messages with answers grounded in your content. Free includes unlimited enterprise search; paid plans add direct access to Claude and GPT models in the search copilot.
Apps and uploads
Desktop apps record meetings from your computer; mobile apps capture in person meetings and live events. Paid plans include 100 to 300 minutes a month of audio and video uploads.
Languages
The pricing card lists 20+ supported languages. The detailed table lists meeting reports in 16+ languages, including Arabic, Cantonese, Mandarin, Danish, Dutch, English, Finnish, French, German, Hindi, Italian, Japanese, Norwegian, Portuguese, Russian, Spanish and Swedish.
What users say
Read AI's ratings split sharply by who is reviewing. Its iPhone app holds 4.9 on the App Store from 1,013 ratings. On Trustpilot it scores 1.3 from 109 reviews, with 90% one star, as listed in October 2026. We could not open its G2 listing this month.
The Trustpilot reviews are mostly from people who did not choose Read AI on purpose. The themes: the assistant joining meetings without the person realizing they had enabled it, difficulty removing it even after deleting an account, broad permission requests for email, Teams messages and calendars, and sign up flows where clicking a shared meeting report turned features on. One reviewer reported a double charge.
That gap matters for a buyer. People who set Read AI up deliberately rate it highly; people who were opted in by a colleague's link do not. If you roll it out, configure which meetings it joins, tell external guests, and grant only the permissions you need.
Privacy and security
- Certifications: SOC 2 Type 2, GDPR and HIPAA listed by Read AI. HIPAA can only be enabled on Enterprise+.
- Admin controls: Workspace admins on paid plans control which meetings Read joins and how reports are shared. SAML SSO, SCIM and domain capture are Enterprise+.
- Retention: custom data retention policies that auto delete reports after a set number of days are Enterprise+ only.
- Model providers: Read AI uses Anthropic and OpenAI models in its search copilot.
- Consent: the bot is visible in the participant list, which is the right default, but auto join means you should set rules before rolling it out to a team that talks to customers.
Read AI is one of the few tools where HIPAA is available on a published, self serve price (Enterprise+ at $29.75 annual with 5 seats), alongside Fathom's signed BAA.
Who it is for
- Managers and executives who want meetings, email and chat summarized in one place.
- People who want speaker coaching on pace, filler words and engagement.
- Small healthcare and regulated teams that need HIPAA without a custom enterprise contract.
- Zoom One customers who can get premium features through Zoom Essential Apps.
Who should skip it
- Budget buyers. Fireflies is $10 a seat annual with video; Otter is $8.33.
- Teams that need video playback cheaply. Read keeps it on Enterprise.
- Free plan users. Five meetings a month is a trial; Fathom is unlimited for $0.
- People who never want a bot. Granola and Krisp capture from your device.

Verdict
Read AI is the strongest pick for people whose problem is not one meeting but the whole flow of meetings, email and chat. Its coaching metrics are unique, its search spans all three, and HIPAA has a published price. As a meeting recorder alone it is outgunned: Fireflies records video for $5 less per seat, Fathom is free and unlimited, and Read keeps playback on Enterprise. Try the free plan on 5 meetings; if the email summaries are what you keep opening, Pro at $15 a user annual is fair value.
