Ruby Review 2026: Pricing, Features and Verdict
Live virtual receptionists on every call, with AI working behind the scenes, and the highest per minute price in the category.

Fact checked against each company's published pricing, documentation and verified user ratings. How we score
Ruby is the right call when every caller must reach a real person: trained receptionists answer 24/7, AI tools support them in the background, and the legal software integrations are the deepest in this category. You pay for that. Plans run $250 for 50 minutes to $1,725 for 500, or $3.45 to $5.00 per minute, and overage is not published.

Ruby is the pick when every caller must reach a person: live receptionists around the clock, Clio, Lawmatics, Filevine and MyCase integrations, and 4.5 on Trustpilot from 853 reviews. It is also the most expensive option per minute in this group, from $250 for 50 minutes, and the AI is an assistant to staff, not a receptionist on its own.

What it is
Ruby is a live virtual receptionist service for small businesses. It has been around for more than 20 years and says 15,000+ businesses use it, with 1.1 million+ conversations handled a month and an average answer time under 10 seconds. Receptionists answer in your business name, take messages, transfer calls, screen and qualify leads, book appointments and can collect payments or make outbound calls as add ons.
Ruby is not an AI receptionist, and it says so plainly: the person on the phone is always a human. AI sits behind the receptionist. Call Nav is an LLM powered assistant that pulls answers from a knowledge base built for your business during the call, and every call and voicemail gets an AI transcript with sentiment analysis. Ruby also uses AI to screen robocalls; it says it filters about 20,000 a month across its customers.
That positioning matters when you compare prices. Ruby competes with Smith.ai, Abby Connect and AnswerConnect on human answering, and only indirectly with AI tools like Rosie or Upfirst, which cost a fraction as much but put software on the line.
Pricing explained
Ruby sells bundles of receptionist minutes. All prices are as listed on its pricing page in October 2026, per month.
| Plan | Price | Minutes | Cost per included minute | About this many 2 minute calls |
|---|---|---|---|---|
| Starter | $250 | 50 | $5.00 | 25 |
| Standard | $395 | 100 | $3.95 | 50 |
| Popular | $720 | 200 | $3.60 | 100 |
| Enterprise | $1,725 | 500 | $3.45 | 250 |
Live chat is a separate product: $143 for 10 chats, $335 for 30 and $520 for 50 a month. Bundled with a receptionist plan, chat is 20% off ($115, $268 and $416).
Every receptionist plan includes the AI features, the mobile app, call screening and the integrations. Ruby says there are no setup, activation or customization fees, and its FAQ says there are no long term contracts.
What the pricing page does not tell you:
- Overage rate. Not published. Third party pricing write ups quote different figures and disagree on whether calls round to 30 seconds or a full minute. Get both in writing.
- Spanish. Bilingual answering is an add on with no listed price.
- HIPAA. HIPAA compliant receptionists are an add on with no listed price.
- Payments and outbound calls. Listed as add ons, no prices.
- Annual discount or trial. Neither appears on the pricing page or FAQ.
Minutes are the unit that matters. A law firm intake can run 5 to 8 minutes, so the 200 minute Popular plan may cover only 25 to 40 new client calls. Pull last month's call log, multiply calls by average length, and pick a plan with headroom. The full breakdown with worked bills is on our Ruby pricing page, and you can model your own volume in the calculator.
Key features
Live receptionists 24/7
Every call is answered by a trained receptionist, around the clock, including weekends and holidays. Ruby's receptionists use your custom greeting, follow your call handling instructions, and transfer, take a message or screen as you set. This is the main reason to buy Ruby over any AI product.
Call Nav
Call Nav is Ruby's AI assistant for its own receptionists. During a call it surfaces your FAQs and key points from a database built for your business, so the receptionist can answer detailed questions without putting the caller on hold. It does not talk to your callers.
Transcripts and sentiment analysis
Ruby produces verbatim AI transcripts of every call and voicemail, available in the app and portal, and scores caller sentiment. That gives you a searchable record without paying for a separate call recording tool.
Robocall filtering
AI screens likely spam numbers before they reach a receptionist. It matters because spam uses your minutes. Reviewers still report robocall spikes, so watch your usage in the first month.
Scheduling and intake
Receptionists can book appointments through Google Calendar and Calendly and run intake scripts. Scheduling is listed among the add ons on the pricing page, so confirm whether your plan includes it.
Integrations
Ruby lists 5,000+ integrations, most through Zapier. The native list is strongest for law firms: Clio, Lawmatics, Law Ruler, Filevine, MyCase and Rocket Matter. It also connects to HubSpot, Salesforce, Zoho, Follow Up Boss, JobNimbus, FieldPulse, Slack and Microsoft Teams.
Ruby app
The Ruby 2.0 app for iOS and Android lets you set your status, route calls, read transcripts and return calls from your business number. On the App Store it holds 4.8 from 338 ratings.
What users say
Ruby has one of the larger review bases in this category. As of October 2026:
| Site | Rating | Reviews |
|---|---|---|
| Trustpilot | 4.5 | 853 |
| App Store (Ruby 2.0) | 4.8 | 338 ratings |
Recurring praise on Trustpilot is about the receptionists: polite, warm, patient with difficult callers and consistent across the team. Several reviewers frame Ruby as a cost saving against a full time hire; one solo practitioner says they replaced a salaried assistant with roughly $6,000 a year of Ruby.
Recurring complaints are about minutes. Some reviewers say robocalls and hang ups spiked while the service was active and pushed them toward a bigger plan, and that Ruby's answer was to point to its screening tools. A few report connection problems that Ruby investigated in the replies. Ruby responds to most negative reviews.
Only 31 of the 853 Trustpilot reviews came in the last 12 months, so the score leans on older history.
Privacy and security
Ruby offers HIPAA compliant receptionists as an add on, which is the main compliance question for medical, dental and therapy practices. Its AI page commits that the AI will not replace the human on the call, inflate charges or make up answers. Ruby does not publish a SOC 2 report or detail data retention on the pages we opened. Because transcripts of every call are stored, ask how long Ruby keeps recordings and transcripts, whether call data trains any AI model, and who can access it.
Who it is for
- Law firms that want a human on every intake call, especially on Clio, Filevine, MyCase or Lawmatics
- Professional services where tone and judgment matter more than cost per call
- Businesses with callers who hang up on bots, such as older client bases
- Offices that want a human team for after hours and overflow without hiring
- Medical practices that need HIPAA terms and are willing to pay for the add on
Who should skip it
- Budget buyers with routine calls. Rosie covers 250 minutes for $49; Ruby's 200 minutes cost $720.
- High volume offices. 500 minutes is $1,725 and there is no published price beyond it.
- Anyone who needs predictable overage. The rate is not published.
- Bilingual businesses on a budget. Spanish is an add on here, but included free with Smith.ai, Rosie and Dialzara.
- Teams that want AI to book directly into field service software. Look at Sameday AI or Avoca for trades.
Alternatives
- Smith.ai: AI first, with live North America based receptionists as a per call backup. 75 calls for $150. See Smith.ai vs Ruby.
- Abby Connect: AI and human answering on the same plan, from $164, where AI minutes count half.
- AnswerConnect: all human, 24/7, quote only, 4.9 on Trustpilot from 1,544 reviews.
- Upfirst: AI only, 300 calls of any length for $159.95.
- Rosie: AI only, the most minutes per dollar on a published plan.

Verdict
Ruby does one thing well: a friendly, trained person answers every call, any hour, with good legal integrations and AI that helps the receptionist instead of replacing them. Its review record backs that up. The price is the tradeoff, at $3.45 to $5.00 per minute, with overage, Spanish and HIPAA pricing left off the page. Buy it if your average call is worth hundreds of dollars and your callers expect a human. If most of your calls are routine, an AI receptionist with a human backup gets you most of the outcome for a fifth of the cost. Full rankings: best AI answering services.

Posh4.1Frequently asked questions
How much does Ruby cost per month?
As listed in October 2026, Ruby's receptionist plans cost $250 for 50 minutes, $395 for 100 minutes, $720 for 200 minutes and $1,725 for 500 minutes a month. Live chat is separate, from $143 for 10 chats, or 20% less when bundled with a receptionist plan.
Is Ruby an AI receptionist?
No. Ruby says the person speaking with your caller is always a trained human receptionist. It uses AI behind the scenes for call transcripts, sentiment analysis, robocall filtering and Call Nav, an assistant that surfaces your FAQs to the receptionist during the call.
What happens if I go over my Ruby minutes?
Ruby does not publish its overage rate or how it rounds calls on its pricing page or FAQ, and third party write ups disagree on both. Ask for the per minute overage rate and the billing increment in writing before you pick a plan.
Does Ruby have a contract?
No. Ruby's FAQ says there are no long term contracts, and its pricing page lists no setup, activation or customization fees.
Does Ruby answer in Spanish?
Yes, as an add on. Ruby offers bilingual English and Spanish receptionists 24/7, but the add on price is not published.
Is Ruby HIPAA compliant?
Ruby lists HIPAA compliant receptionists as an optional add on. Medical and therapy practices should ask for the business associate agreement and the add on price before signing.
Is Ruby worth it?
It is worth it when a missed or mishandled call costs more than a few dollars, such as a law firm intake or a high ticket service call, and you want a person on every call. For routine calls, an AI receptionist covers the same volume for a fraction of the cost.
What is the cheapest alternative to Ruby?
If you still want humans, Smith.ai's AI Receptionist with live escalation or Abby Connect's mixed AI and human plans cost less per call. If AI only is fine, Rosie covers 250 minutes for $49 and Upfirst covers 300 calls for $159.95.
